Privacy Policy (“Policy”)

Peace in Our Cities is a joint venture among Pathfinders for Peaceful, Just, and Inclusive Societies at New York University’s Center on International Cooperation and the Stanley Center for Peace and Security. This site is owned by the Stanley Center for Peace and Security (d/b/a The Stanley Foundation) and operated by the Peace in Our Cities secretariat (the organizations listed above). Your privacy offline and online is of the utmost importance to us. In this Policy, “Stanley Center,” “we,” “us,” and “our” refer to the Stanley Center for Peace and Security.  We are the primary contact for privacy requests submitted under this Policy.

Because we gather certain types of information about users and other individuals who interact with us, this Policy explains what personal information we collect, the sources of that information, how we use it, when we disclose it, how long we retain it, how we protect it, and the privacy rights that may be available to you.

This Policy is intended to address applicable privacy and data protection requirements, including for individuals in the European Economic Area and, where applicable, the United Kingdom Privacy Law and United States privacy laws such the California Consumer Privacy Act, as amended by the California Privacy Rights Act (CCPA/CPRA).

Who We Are

Peace in Our Cities is a diverse network driven by its members’ need to address severe violence. We partner with cities and organizations around the world to achieve one bold, unifying goal of halving urban violence in cities by 2030. We network to reduce and prevent urban violence—preserving lives and helping cities thrive.

The Stanley Center works with people, organizations, and the greater global community to nurture policy progress and systems change on three global challenges—mitigating climate change, avoiding the use of nuclear weapons, and preventing mass violence and atrocities. The Stanley Center was created in 1956 and maintains its independence while developing forums for diverse perspectives and ideas.

What Does “Personal Information” Mean?

“Personal Information” means information that identifies, relates to, describes, is reasonably capable of being associated with, or could reasonably be linked to an identified or identifiable individual, including “personal data” under the GDPR and similar terms under other applicable privacy laws.

What Types of Personal Information Is Collected

We collect and track two types of personal information about users:

• Information that you choose to provide through optional, voluntary submissions. These include voluntary submissions to receive our electronic newsletters, online magazine, policy briefs, or other reports; registration for or participation in events or surveys; application for employment; request for information; communication with us; or submission of information and certain submissions related to travel arrangements, expense reimbursements, honoraria, consulting, or other payments.
• Information collected automatically when you use or interact with our website, emails, or online services, including usage, device, log, cookie, Web beacon, and CRM related information. We use this information to operate, secure, evaluate, and improve our communications and services and disclose it only as prescribed in this Policy.  This information allows us to better tailor our content to readers’ needs and to help us better understand the demographics of our audience.

We gather user information in the following processes:

• Information submitted by individuals through our website and other platforms, including, without limitation, Cvent event registration, Google Forms, Qualtrics, and Alchemer.
• Information given directly to our staff or representatives in a nondigital format.
• Information given to our organization that relates to events in which we present or participate.
• Information we find on our organizational social media page(s).

We may collect more information about individuals, such as professional affiliation, role, publicly available contact details, or publicly available social media activity from public sources or third parties that are permitted to provide it. We use this information only for legitimate organizational purposes, such as tailoring communications, maintaining accurate records, conducting outreach, and planning events, and do not use it in ways that are incompatible with the context in which it was obtained.

You can submit your resume and other information by e-mail to apply for a job with us. We use applicant information to evaluate qualifications, communicate with applicants, conduct recruiting and hiring activities, and comply with legal obligations.

Where GDPR or similar laws apply, our legal basis for processing personal information may include your consent; performance of a contract or steps taken at your request; compliance with legal obligations; our legitimate interest in operating, securing, and improving our programs, events, communications, recruitment, recruiting activities and website; and, where necessary, the establishment, exercise, or defense of legal claims.  Where we rely on consent, you may withdraw that consent at any time, and we will honor that withdrawal as required by applicable law.

Some information we collect for travel, reimbursement, tax, employment, or accessibility-related purposes may be sensitive personal information, such as government identification numbers, passport details, financial account information, dietary or accessibility needs, social security numbers, and tax identification numbers.  We collect and use sensitive personal information as reasonably necessary for the disclosed purpose, with your consent where required, and not to infer characteristics about you except as permitted by law.

How Personal Information Is Used

We use personal information for the purposes disclosed when we collect it and for compatible organizational purposes, including, without limitation, to provide publications and updates; administer events, surveys, travel, reimbursements, payments, recruiting, and programs; respond to inquiries; maintain and improve our website and communications; analyze engagement and audience reach; maintain records; comply with legal, tax, accounting, employment, audit, and reporting obligations; prevent fraud and protect the security of our system; and enforce or protect our rights.  We do not use personal information for materially different, unrelated or incompatible purposes without providing notice and obtaining consent where required by law.

Do We Share Your Personal Information With Others?

We may disclose personal information to:  (a) personnel who need the information for the purposes described in this Policy; (b) service providers that perform services for us, such as website hosting, email distribution, event administration, travel arrangements, payment processing, accounting, tax reporting, recruiting, CRM, analytics and security; (c) third parties you authorize or ask us to contact, such as hotels, airlines, travel agencies, funders or event hosts; (d) professional advisors, auditors, insurers, and financial institutions; and (e) governmental authorities, law enforcement, courts or other parties when disclosure is required or permitted by law where necessary to protect rights, safety or security.  We require service providers to use personal information only for the services they provide to us and to protect it appropriately.

Do We Share Your Personal Information With Others Outside Your Region?

For individuals located outside of the United States, your personal information may be transferred to, stored in, or processed in the United States or other countries that may not provide the same level of data protection as your home country.  When required, we use appropriate safeguards for international transfer, such as data processing terms with service providers,.  We rely on explicit consent for international transfers only where the mechanism is appropriate under applicable law.

How Do We Keep Your Personal Information Secure?

We take reasonable precautions designed to safeguard personal information that is collected or used by us from loss, misuse, unauthorized access, modification, or disclosure. To ensure that your personal information is secure, we employ several means, including:

• Computer firewall protection.
• Restricted access to personal files and information.
• Computer maintenance to prevent unauthorized access.
• Document handling and shredding procedures with respect to personal information.

What Are Your Rights?

How Long Do We Store Your Information?

We retain your information only for as long as reasonably necessary for the purposes described in this Policy or disclosed at the time of collection, including to provide services, administer events and programs, conduct recruiting, maintain business and financial records, comply with legal, tax, accounting, audit, employment, and reporting obligations, resolve disputes, enforce agreements, and protect our rights and security. Retention periods vary depending on the type of information, the purpose for which it was collected, legal requirements, and whether the information is needed for an active relationship, transaction, application, or request.

How Do You Access the Personal Information We Store?

We will handle all requests as quickly as possible (and within any timelines imposed by applicable laws and regulations) and provide that information to you. Some requests may take longer depending on the nature of the request.  Some requests may be denied or limited where an exception applies, such as when retaining information is necessary to comply with law, complete a transaction, prevent fraud, protect security, or preserve legal rights.

Children

We appreciate the importance of taking additional measures to protect children’s privacy. Our website and services are not directed to children under age 16, and we do not knowingly collect personal information from children under age 16.  Where applicable law requires consent from a parent or guardian for older minors, we will request that consent before collecting the minor’s personal information.  If you believe a child has provided personal information to use without the required consent, please contact us at [email protected].

E-mail Policy

In some sections of our site, we may ask for personal information, such as your name, mailing address, and e-mail address. If you are under the age at which applicable law allows you to provide that information without parental or guardian consent, you must have a parent’s or guardian’s consent to provide this information. Information gathered in any section will be used and disclosed as described in this Policy.

Our e-mail outreach is permission based. If you received a mailing from us, our records indicate that (a) you have expressly shared this address for the purpose of receiving information in the future (“opt-in”) or (b) you have confirmed your participation in an event or otherwise have an existing relationship with us.

We may use the e-mail address you have provided to send promotional e-mails about new publication releases or events we think you may find interesting.

If you believe you have received unwanted, unsolicited e-mail sent via our system or purporting to be sent via our system, please forward a copy of that e-mail with your comments to [email protected] for review.

Each e-mail we send contains an easy way for you to cease receiving e-mail from us. If you wish to do this, simply click on the “Unsubscribe” link at the bottom of any e-mail, or contact [email protected].

Surveys

We may occasionally conduct user and post-event surveys to better target our content to our audience, evaluate events and programs, and improve our services. We do not disclose survey results that identify a specific individual except as described in this Policy, with your consent, or in aggregated or de-identified form.

Website Usage Tracking and  Server Log Files

Our Web server, like most servers, collects information about visitors and stores them in log files. This information is gathered and stored each time the site is accessed.

Most Internet service providers (ISPs) use a dynamic form of assigning IP addresses. This means a visitor often has a different IP address each time a visitor visits the Stanley Center website. Many other ISPs (such as AOL) use proxy servers that further protect the anonymity of visitors.

Website Cookies

Sometimes, our websites use “cookies” and similar technologies to recognize your browser or device, remember preferences, operate the website, understand site and usage, improve communications, and support CRM and analytics functions.  Cookies and similar technologies may collect identifiers such as cookie IDs, IP addresses, device information, browser information, pages viewed, and interactions with our site or emails, which may be personal information under applicable law.  You can manage cookies through your browser settings and, where required, through cookie preference tools we make available.  Refusing non-essential cookies should not prevent the website from functioning, although some features may not work as intended.

Website Beacons

When we send you e-mails, we may include a Web beacon or similar technology to help us determine whether an email was opened, whether links were clicked, and how recipients engage with our communications. Web beacons may collect such as a cookie identifier, time and date of a page being viewed, URL, device or browser information, and interaction information. HTML images, selecting text-only emails where available, using unsubscribed links for marketing emails, or contacting us at [email protected].

Website CRM

In some cases, if you have filled out a form with personally identifiable information on our website, we may use cookies or similar technologies to associate subsequent visits to specific web pages in our customer relationship management (CRM) software. We use this information to understand engagement, personalize communications, improve outreach, subject to any consent or opt-out requirements that apply.  You can manage cookies through browser settings and any cookie preference tools we make available, but refusing certain cookies may limit personalization or analytics features.

Third-Party Service Providers

We may employ other companies and individuals to perform functions on our behalf. They have access to personal information needed to perform their functions but do not have permission to use it for other purposes.

Changes to This Privacy Policy

We monitor regulations, policies, and procedures to ensure that we are up to date with changes in the law, market practices, and our practices. We may update this Policy from time to time and “last reviewed” date below indicates when it was last updated.
